The problem

The phone rings. Nobody picks up.

Roughly 1 in 4 calls to small clinics go unanswered. Lunch breaks, after hours, two patients standing at the front desk at the same time. The phone rings out, and the caller moves on to the next clinic on Google.

calls to small clinics go unanswered. It isn't a marketing problem. Nobody picks up.

You already paid to make that phone ring. More ads won't fix it. Answering will.

HannahCooper Spine and Wellness, this is Hannah — how can I help you today?
CallerHi, I'm looking to set up an appointment. I've never been there before.
Sure thing, happy to get you in. Can I grab your first and last name?
Jennifer Alvarez.
Got it, Jennifer. And what's the best number to call you back on?
469-555-0142.
Perfect. What's bringing you in?
My lower back's been killing me for about three weeks. I think I tweaked it moving boxes.
Yeah, that'll do it. What days and times generally work for you?
I'm flexible — afternoons are easier. Maybe Tuesday or Thursday?
Okay, Tuesday or Thursday afternoon. And do you have insurance you'd want us to run, or are you doing cash pay?
BlueCross.
Got it. So — Jennifer Alvarez, callback at the number you gave me, lower back pain from moving, Tuesday or Thursday afternoon, BlueCross. Sound right?
Yep.
Perfect. I'll get this on Dr. Cooper's schedule and someone will call back within a couple hours to lock in the exact time. Anything else?
No, that's it. Thanks.
You're welcome. Take it easy on that back. Bye now.
What you get

A receptionist that never goes home.

A voice receptionist that picks up every call, day or night, and sounds like a person. It books new patients into your scheduler, handles the basic questions (hours, location, insurance, first-visit pricing, what the first visit looks like), and forwards anything urgent or out of the ordinary straight to you. It's trained on your specific practice, not a generic chiropractor script.

You also get five short patient education videos. The questions you end up answering ten times a week. Embed them on your site or send them in follow-up texts. First adjustment, what cracking actually is, why we re-x-ray, decompression vs. manual, insurance basics. Saves you the repeat conversations and gives the agent somewhere to point callers.

How it works

Three steps, fourteen days.

01

Discovery call (15 min)

We go through your current call flow, your scheduler, what you want the AI to handle and what you want it to escalate. I record the answers, you don't fill out a form.

02

Configure and test

I build the agent, wire it to your scheduling system, and run it through every realistic call I can think of. You get a test number to try it yourself and tell me what to fix.

03

Live in 14 days

We point your existing number (or a forwarding line) at the agent and turn it on. You don't change phone systems, you don't retrain staff.

About

Hi, I'm Salem.

I'm a pre-med student. Thousands of hours scribing, time working the front desk at a clinic, and currently shifts as an ER tech.

I've been the person answering the phone and the person missing it. Clinic Receptions is what I'd want sitting behind that phone if it were my practice.

Pricing

One setup fee. No surprises.

Optimization · optional
$297 / month

Monthly call review, prompt updates, new FAQs added, scheduler tweaks. Skip it if you want. The agent keeps running either way. Cancel anytime.

FAQ

Questions I get asked.

Is this HIPAA compliant?

Agent is configured to minimize PHI capture. No medical history fields are logged. Full BAA infrastructure is coming in v2. If you need a signed BAA on day one, we're not the right fit yet.

Why not just use voicemail?

Most people hang up on voicemail and dial the next clinic on the list. Industry callback rates from voicemail sit well under 20%. The agent picks up live, takes the caller's name and reason for calling, and books them. Voicemail saves you a few dollars and costs you the patient.

What if it misroutes a call?

Every call is logged with a transcript. In the first two weeks I sit down with you, go through them, and adjust the agent's logic. That's what the tuning window is for. After that, the optional monthly plan keeps the review going. Misroutes get fixed and don't repeat.

Can we keep our existing number?

Yes. We forward your current number to the agent, so patients keep dialing what they've always dialed. Nothing on your business cards or Google listing changes.

What happens after the 14 days?

The agent stays live. The two weeks after launch are included tuning, where I'm watching transcripts and fixing edge cases as they come up. After that you can either go month-to-month on the optimization plan or run it as-is. Your call.

Can I cancel?

The monthly plan is month-to-month. Cancel anytime by email. The agent itself is yours. The setup fee buys the build, not a subscription. If you cancel the monthly plan, the agent keeps answering. You just don't get ongoing tuning from me.

Do I need to switch phone systems?

No. It works with whatever you have, whether that's a landline, VoIP, or cell forwarding. Calls get forwarded to the agent at the carrier level. Your existing system stays exactly where it is.
